Terms of Service
Last Updated: June 16, 2026Welcome to SwiftPOS. By registering your retail business on swiftpos.ng or app.swiftpos.ng, you agree to be bound by these Terms of Service. Please read them carefully before creating your store environment.
1. Account Registration & Tenant Administration
SwiftPOS operates on a secure, multi-tenant framework. To utilize the platform, you must create a company tenant environment, represented by a unique URL-safe company slug.
- Authorized Representation: You certify that you are the authorized owner or legal representative of the business being registered and that the details (including CAC numbers or registration codes) are accurate.
- Role & Credential Security: You are solely responsible for managing credentials for your cashiers, managers, and administrators. SwiftPOS utilizes role-based access controls (RBAC) to limit capabilities, but maintaining authorization limits and credential secrecy is your duty.
- Cashier PINs: Cashiers are assigned secret, hashed transaction PINs for sales validation and pricing overrides. You are fully responsible for all checkout adjustments, transaction reversals, and credit approvals processed using these PIN credentials.
2. Plan Tiers, Subscription Limits, & Billing
SwiftPOS provides software access under tiered subscription models. Plan features and limitations are enforced programmatically:
- Starter Plan (₦3,000/month): Limited to 100 sales orders/day, up to 100 customers, 20 pricing categories, 2 staff accounts (Admin + 1), classic POS (v1), basic inventory management, and basic sales reports.
- Standard Plan (₦6,000/month): Limited to 500 sales orders/day, up to 1,000 customers, 100 categories, 5 staff accounts, Classic POS (v1) + Smart Grid POS (v2), Barcode scanning POS, CSV product imports, P&L reports, and data exports.
- Pro Plan (₦12,000/month): Provides unlimited orders, unlimited customers, unlimited categories, up to 15 staff accounts, multi-branch inventory tracking, suspicious activity detection engines, customized receipts, and advanced audit logs.
Subscriptions are billed periodically using Monnify. Annual subscriptions receive 1 month free. If a payment attempt fails, your account will enter a grace period, after which system access will be restricted until the invoice is settled. Scheduled plan downgrades will queue to execute at the end of the current billing cycle.
3. AI Assistant Terms of Use
The Pro and Standard plans may feature access to our built-in Agentic AI Business Assistant.
- Operational Limits: Daily chat prompts are rate-limited via our
AI_DAILY_LIMITsettings, and token metrics are logged in our cloud databases. - AI Tool Integrity: The assistant makes programmatic database calls (e.g., pulling stock shortages, summarizing financial balances, or drafting supplier purchase orders). While we optimize these models for retail, all drafted purchase orders and inventory forecasting outputs must be reviewed and approved by an authorized manager before execution. SwiftPOS is not responsible for overstocking or purchase order errors initiated by AI drafts.
4. Offline Mode & Service Synchronization
SwiftPOS includes a Progressive Web App (PWA) framework designed to sustain retail cashiers through network outages.
Product directories, barcodes, and cart values cache directly onto the local browser storage via Service Workers. The merchant accepts that transactions processed while offline are held locally on the device. **You must ensure that your cashier devices connect to the internet periodically.** SwiftPOS is not responsible for data loss caused by clearing browser cookies, storage formats, or resetting devices before offline data has successfully synchronized with our cloud servers.
5. Integrity & Prohibited Uses
Merchants using SwiftPOS agree NOT to:
- Attempt to bypass multi-tenant validation schemes, inspect databases, or access sales logs of other tenants.
- Reverse-engineer the checkout logic, barcode builders, or tax computation tools.
- Create duplicate or fraudulent transaction sync patterns designed to manipulate credit logs or payment records.
- Use the software for transactions or sales prohibited under the laws of the Federal Republic of Nigeria.
6. Audit Logs & Forensic Records
To ensure security, we log **24 distinct event types** (including adjustments, cash reconciliations, overrides, and logins) alongside IP addresses. Account administrators have complete access to view and export these audit logs. These forensic records are treated as immutable business logs to prevent cashier manipulation.
7. Limitation of Liability
SwiftPOS is provided on an "as is" and "as available" basis. To the maximum extent permitted under Nigerian law, SwiftPOS and its developers in Kano and Lagos shall not be held liable for:
- Loss of sales, revenue, or physical inventory (shrinkage) caused by cashier theft, pricing errors, or incorrect discount overrides.
- Errors in physical cash count variances entered during End-of-Day (EOD) reconciliations.
- Operational delays or business interruptions caused by server downtime or network drops.
8. Agreement Changes
We update these terms periodically to represent changes in features or pricing. Continued usage of swiftpos.ng or the app dashboard after changes are posted constitutes acceptance of the new terms.
